Your January eZupdates!

Each month eZmax will be providing you with eZupdates. This is your monthly column that highlights features within the system and tips on how to apply them.

For Our Admins:

  1. Multiple offices? Customize your colour scheme in eZmax to differentiate each office and easily identify them while working in them simultaneously.  Go to Admin/ Change your Preferences / Style
  2. “List of Required Documents”: Did you know that you can write a comment next to each document in your transactions? These comments will appear in the “Reminders” and the “Required Document Reports” sent to agents.
  3. If a Deal or Listing needs to be validated by the administrator before moving forward, don’t rely on your memory to make sure it doesn’t fall through the cracks, simply activate the “Pending Validation” feature.  The system will notify the person designated to validate the transaction which will be stalled until it is reviewed and validated by him or her.

For All Our Users :

  1. Three ways to get help and support from eZmax: email us, call us, or open an online session by clicking on the “Online Help Button” in eZmax. Fun Facts: stats show that the eZmax support team will answer your calls within less than 5 minutes.
  2. Too many credentials to remember? just make sure to check the box to Save Username, Save Password or Save Client Code on the Authentication page
  3. Did you know that you can access ALL documents for a file without having to switch from Deal to Listing? From the Deal side of the transaction, select your Listing documents, your Deal documents and email them at once.  
  4. PROBLEM: You have documents to upload to your EDM for a listing you just broker loaded, but your listing hasn’t imported yet to eZmax…what do you do? SOLUTION: just create a Temporary Listing and upload all your documents.  When the next automated importation occurs, your Listing will merge with the Temporary Listing – the Temporary Listing will disappear, and you will find in the system, the Listing and its documents. 
  5. Make sure to always send any transaction documents directly from your EDM (electronic document management) and not from email box.  This way, you ensure that all communications pertaining to the specific transaction remain within the transaction file in eZmax…no need to look through all your emails!
  6. You may be paperless with eZmax, but we know how practical “post-its” can be.  So, with our “Notes” feature, both the admin staff and agents can put “sticky notes” in their files.  Add a reminder date and be notified on said date of what needs to be done.  Admin staff will not see the agents’ notes; however, admin notes will be seen by all admin staff!
