Each month eZmax will be providing you with eZupdates. This is your monthly column that highlights features within the system and tips on how to apply them. This month your eZupdates include:

Feature #1 for Agents: DOCUMENT FROM EDM to eZsign

You can now transfer a document from the EDM to eZsign for electronic signatures.  To do so, simply go to the transaction’s EDM and select the document(s) you wish to sign electronically and click on “Send to eZsign”.

In the next window, choose either “Existing Folder” of “New File” according to your situation, input the folder’s name and click on “Send”.

Then, proceed with the usual steps to sign electronically.

FEATURE # 2 for Admins: REQUIRED DOCUMENTS REPORT SENT TO BROKERS

From now on, when the system sends the Required Documents Report, it is possible for the email recipient to see the information directly in the email content.  S/he will no longer have to open the attached document to see the information.

To do so, you must:

1) Go to Configuration
2) Global configurations
3) Check off “Reports included in the E-mail”
4) Submit

FEATURE # 3 for Agents: AUTHENTICATION – SECRET QUESTION

You can now authenticate your signatory with a secret question.  To use this feature, your client must have an email address, but a telephone number is not needed.

This feature respects the OACIQ requirements of double authentication when using electronic signatures.  First, an email is sent to your signatory’s email address (1st authentication) and then s/he will have to type in the correct answer to the secret question (2nd authentication) to sign the document.

If you choose to use this Type of Authentication, you can do so by selecting Secret Question in the scroll down menu when creating the signatory.  You will have several questions from which to choose.  Simply select one and write the answer.

IMPORTANT: Make sure to inform your client of the question/answer to ensure that s/he answers correctly to unlock the document and proceed with the electronic signature.
